Privacy at WeGov

Privacy policy.

How information is handled when you visit this site, contact us, or use the WeGov workspace and mobile apps.

Draft for review · November 3, 2026

Draft policy. This policy is being reviewed against WeGov’s deployed services, contracts, and retention practices before launch. Contact us with questions about your office’s configuration.

Scope and office records

WeGov is a WeHawaii product for public-service offices. This policy describes the WeGov marketing website and the WeGov web and mobile services. Features and data practices can vary by office, platform, and configuration.

When an office uses WeGov to manage constituent work, the office determines what information its staff enter and how that information is used in its work. The office may have its own privacy notices, public-records obligations, and retention requirements. If you have a question about a record held by an office, please contact that office as well as or instead of contacting us.

Information we handle

Depending on how you interact with WeGov, information may include:

  • Messages and inquiries: your name, email address, and the contents of a demo request or other message you send us.
  • Account and access information: staff account details, authentication information, office membership, roles, and access settings.
  • Office records: information an office enters or imports, such as names, contact details, addresses, constituent requests, case notes, correspondence, attachments, office guidance, and related activity. These records may contain sensitive information supplied by a constituent or office.
  • District and legislative information: addresses or searches submitted for district tools, permitted voter matches an office chooses to import, and legislative information or watchlists used by the office.
  • Technical information: information sent as services operate, such as IP address, browser or device information, request and error logs, and authentication or session data.

The mobile apps provide access to supported office tools. Features, device permissions, and information processed depend on the app and build you use.

How information is used

We use information to respond to inquiries, provide and support WeGov, authenticate staff, enforce office access, operate configured features, troubleshoot problems, maintain security, and meet applicable legal obligations. Offices use their records to carry out their own constituent-service and legislative work.

When you request a demo using the link on this site, your email application opens a message addressed to WeHawaii. The message is sent only if you choose to send it through your email provider.

Sharing and service providers

Information may be available to authorized members of the relevant office according to their permissions and record restrictions. We work with service providers that help operate WeGov, including providers of hosting, authentication, database and file storage, email receiving, maps, and related integrations. The services used depend on deployment and configuration.

For example, configured services can include Supabase for authentication and storage, Railway for hosting, Resend for receiving email, and WeHawaii services for district and legislative data. Providers process information needed to supply their services under their own arrangements. Information may also be disclosed when required by law or in response to a valid legal process.

The marketing site loads fonts from Google Fonts, which involves a request to Google’s servers. The demo link uses your email application and provider. External sites and services have their own privacy practices.

Live Assist and office context

When Live Assist is enabled during intake, text being written in the intake note is sent through the WeGov API to a corpus service to search for related public resources. Office context can also surface authorized office guidance, positions, and permitted correspondence according to access settings. Staff should review results and sources; the feature does not replace their judgment.

Availability and the services involved depend on configuration. Ask us about the setup and information flows for your office before entering sensitive information into a feature.

Retention and security

Retention depends on the type of information, office requirements, contracts, legal obligations, and the services configured. Automatic one-year deletion of received email is not currently enabled; please ask us and the relevant office about applicable retention and deletion arrangements.

WeGov uses authentication, verified office membership, roles, and record restrictions to help limit access. No system can guarantee absolute security. Offices also have responsibilities for managing staff access and the information they enter or import.

Requests and choices

To ask about access to, correction of, or deletion of information, contact us at aloha@we-hawaii.com. For information held by an office, you may also contact that office directly. We may need to verify your request and coordinate with the office. Our response can depend on applicable law, office obligations, contracts, and records that must be retained.

Your browser and device settings may offer controls for cookies, permissions, and other information. Restricting certain settings may affect how the services work.
